Add people and name administrators

Add accounts, give them app access through groups, hand out separate administration grants, and review the access history.

The People page is one account directory for Eugene and its apps, Workbench included. You add people, decide what they may open, and can hand parts of that job to others.

Add a person and set their access

  1. Open People, then Add a person. Fill in Name they sign in with and First password. Full name and Email are optional. Choose Apps they may sign in to and press Add.
  2. To find them later, type in Find a person and select the row.
  3. In Groups and app access, under Access source, choose Individual access and set Allowed apps (press Save apps), or choose Use permission groups, tick the groups and press Save access.
  4. To make a group, go to Permission groups on the same page and press Add group. Give it a Group name, choose its App access and Job-site permissions, and press Create group.

Name an administrator

  1. Open the person’s account. In Administration permissions, tick what they need and press Save administration access:
    • Manage accounts: create accounts, change display names, disable or delete ordinary accounts.
    • Define permission groups: create, edit and delete groups.
    • Under Assign members to these groups, tick the groups whose members they may assign.
  2. They sign in at People and access sign-in, with their own account name and password.
  3. To take it back, clear every box and press Save administration access. Their administration sessions end.
  4. To see what changed and who did it, open Access history on the People page and press Refresh history.
Good to know
  • The three grants are separate. An administrator can only create accounts without access, and cannot reset passwords, change emails, name other administrators or switch an account between individual and group access. Those stay with the owner.
  • Changing a group changes access for every member. That is why Define permission groups is its own grant.
  • Administration permissions do not open machine controls or anyone else’s private chats.
  • Access history lists committed changes to accounts, groups, apps and keys. It keeps the latest 1,000 and shows 50. Model requests are in Gateway Metrics, and job-site activity in each site’s own history.
  • To stop someone signing in without deleting them, press Turn signing in off under Account actions.
